Privacy notice
What we do with your data, and how to ask us about it.
What we do with your data, and how to ask us about it.
This Privacy Notice explains what personal data Motiohead Ltd collects through this website, why we collect it, how long we keep it, who we share it with, and what rights you have over it. It sits alongside our Cookies Policy, which covers cookies specifically, and our Website Terms of Use.
This Notice was last updated in October 2026.
1. Who we are
This website is owned and operated by Motiohead Ltd, a company incorporated in England and Wales under number 11194437, with VAT number 290039805, and with a registered office at 27 Old Gloucester Street, London, United Kingdom, WC1N 3AX (“we/us/our”). We are the data controller for the personal data described in this Notice. Any question about this Notice, or any request about your own data, goes to hello@motiohead.com.
2. What this Notice covers
It covers personal data we collect through https://www.motiohead.com/ and through email sent to us at the address above. Where you work with us on a project, the personal data in that project is handled under the contract between us and our Terms of Business, not only under this Notice.
3. What personal data we collect
3.1 When you send an enquiry through a form on this website: your name, your email address, your phone number if you choose to give one, the message you write, any file you choose to attach, and the pages you visited on this website before sending the form. The form also records how long the page was open before submission, which is used only to reject automated submissions.
3.2 When you email us: your email address, your name as it appears on the message, and whatever you put in the message and its attachments.
3.3 When you browse this website: analytics data collected through Google Analytics, including pages viewed, approximate location at country or city level, device and browser type, and how you arrived at the site. Your IP address is processed by Google Analytics and is not stored by us in a form that identifies you.
3.4 We do not ask for, and this website does not collect, payment card details, government identifiers, or any of the special category data described in Article 9 of the UK GDPR.
4. Why we use it, and our lawful basis
4.1 To answer your enquiry and to quote for work. Lawful basis: taking steps at your request before entering into a contract, and our legitimate interest in responding to people who contact our business.
4.2 To carry out work you have commissioned, and to correspond about it. Lawful basis: performance of our contract with you.
4.3 To understand how this website is used and to improve it. Lawful basis: your consent, given through the cookie control described in our Cookies Policy. Where you do not consent, analytics cookies are not set.
4.4 To keep records we are required by law to keep, including for tax. Lawful basis: our legal obligation.
4.5 We do not use your data for automated decision-making, we do not profile you, and we do not sell your data to anyone.
5. Marketing
We do not add enquirers to a marketing list from a website form. If we ever send you marketing email, it is because you asked us to or because you are an existing client of ours for similar services, and every such message carries a one-click unsubscribe. You can tell us to stop at any time by replying or writing to hello@motiohead.com, and we will stop.
6. How long we keep it
6.1 Enquiries that do not become projects: 24 months from the last message in the thread, then deleted.
6.2 Project correspondence and files: for as long as we are working together, and then 6 years from the end of the relationship, which is the period we are required to keep records for tax and limitation purposes.
6.3 Analytics data: for the retention period set in our Google Analytics property, after which Google deletes it. No analytics record is held by us outside that service.
6.4 Where you ask us to delete something sooner, we do, unless we are required to keep it under 6.2.
7. Who else sees it
7.1 Google, as the provider of our email and of Google Analytics. Enquiry emails and project correspondence are held in Google Workspace; website usage data is processed by Google Analytics.
7.2 Vimeo, where a page on this website embeds a Vimeo player. Playing or loading an embedded film means Vimeo receives a request from your browser and may set its own cookies, under Vimeo’s privacy policy rather than ours.
7.3 Our hosting provider, which stores this website and its server logs.
7.4 Professional advisers and authorities, where we are required to disclose data by law or to establish or defend a legal claim.
7.5 Nobody else. We do not share enquiry data with other agencies, lead brokers, or advertising networks.
8. Data outside the UK
Google and Vimeo are United States companies and personal data handled by them may be transferred outside the United Kingdom. Those transfers are covered by the safeguards the UK recognises for international transfers, which for both providers are the standard contractual clauses together with the UK addendum, as set out in their own data processing terms.
9. How we protect it
Access to enquiry email and project files is limited to the people at Motiohead who need it to do the work. Accounts that hold personal data are protected by two-step verification. We review who has access when someone joins or leaves. No service is perfectly secure, and sending information over the internet always carries some risk, but once your data reaches us it is held under these measures.
10. Your rights
Under the UK GDPR you have the right to: be told how your data is used, which is what this Notice does; ask for a copy of the data we hold about you; have inaccurate data corrected; ask us to delete data; ask us to restrict how we use it; object to our using it on the basis of legitimate interests; receive your data in a portable form; and withdraw consent at any time where consent is the basis we rely on. Withdrawing consent does not affect anything we did before you withdrew it.
To exercise any of these, write to hello@motiohead.com. We answer within one month, and we do not charge for it. We may ask you to confirm your identity first, so that we do not hand your data to somebody else.
11. Complaints
If you are unhappy with how we have handled your data, please tell us first at hello@motiohead.com and we will try to put it right. You also have the right to complain to the Information Commissioner’s Office, the UK supervisory authority for data protection, at https://ico.org.uk/make-a-complaint/ or on 0303 123 1113.
12. Changes to this Notice
We may change this Notice when what we do with personal data changes, or when the law does. The date at the top is the date of the current version, and the version on this page is the one that applies.
